Custody Records

How to check on an asset in custody, request access to it, and book transport.

A custody record is created once an asset you deposit has been received. It tracks the asset — category, quantity, weight, purity, storage location — through every stage until it's released, and it's what a Safekeeping Receipt is issued against.

Working with a custody record

    Find your assets

    Custody Records lists every asset registered under your accounts, with its current stage.

    Open one for details

    See the asset's category, quantity, weight, purity grade, and current storage location. If an asset has had partial releases, a balance bar shows what remains.

    Request access

    Once the status is "In Vault", a Request Access panel lets you ask for a Transfer (updated instructions while the asset stays in custody) or a Release (taking some or all of it out of custody) — give a reason and submit.

    Book transport

    From the same page, book a pickup and delivery by entering a pickup address, a delivery address, and any notes. This creates a request you can track under Transport.

    Review release history

    Every partial or complete release against this record is listed — its date, who it was released to, the condition at release, and the amount.

    Jump to the receipt

    A link on the custody record takes you straight to its Safekeeping Receipt.

Registered but no delivery appointment has been booked yet.

received

Physically received at our facility.

under inspection

Being counted, weighed, and assessed for condition.

registered

Logged into the custody system with its full details.

in vault

In secure storage. You can now request access or book transport.

transfer requested

You've asked to update instructions for this asset — pending action.

release requested

You've asked to release some or all of this asset — pending action.

released

Fully released — no longer held in custody.

closed

The custody record has been closed.

Frequently asked

Why can't I request access to my asset yet?

Request Access only appears once the status is "In Vault". Earlier stages mean the asset is still being received, inspected, or registered.

What's the difference between a transfer and a release?

A transfer updates instructions for an asset that stays in our custody. A release takes some or all of the asset out of custody, recorded in that record's release history.

Can I release only part of an asset?

Yes — the balance bar on a custody record's page shows quantity and weight remaining after any partial releases.

Does Safepro arrange the pickup and delivery, or do I?

Booking transport from a custody record submits a request to us — track its progress under Transport.
